Prior to applying, please review the following:

The study abroad application is designed to help you take the first step toward participation in a successful and educationally rewarding study abroad experience. Please read the guidelines and application materials carefully. Fill out the application completely and accurately online. If you have any questions, contact Matt Notarian at notarianmf@hiram.edu.

Study Abroad programs require extensive, detailed advanced planning on part of faculty and the Study Abroad Office. Because commitments for flights, hotels, cooperating agencies and organizations are frequently done months in advance of the trip, it is essential that students be aware of the financial commitments when signing up for a program. Likewise, the College is sensitive to extenuating and unforeseen circumstances that arise in students’ lives that could make it impossible for a student to meet the travel commitment. Thus, the College has established a policy whereby both the College and committed students incur the least financial penalty for change of plans.

Policy
  • Hiram College study abroad trips will be included on the initial billing for the semester in which the trip takes place.
  • The cost of the trip is to be paid in by the initial due date.  Study Abroad trips are excluded from any payment plan.
  • Withdrawal from a Hiram College sponsored study abroad trips must follow the Study Abroad Withdrawal Policy, as well as change in course registration.
  • Refunds for withdrawal from a study abroad trip will be a percentage (%) of the amount charged for the trip.  Costs incurred by the College, such as airfare, hotel, in country transportation and similar will reduce the amount refunded.
  • Any credit the student received from the College for room or board will be added back to the student’s bill and payment is due by the next scheduled payment date.
  • Any refund will be applied directly to the student bill.
  • The % refunded will be on the following basis (the amount refunded after the % calculation will be reduced for any costs incurred by the College)
    • 75% of the trip billed will be refunded if dropped by the1st Hiram College payment plan due date for the semester.
    • 50% of the trip billed will be refunded if dropped by the 2nd Hiram College payment plan due date for the semester.
    • 25% of the trip billed will be refunded if dropped by the 3rd Hiram College payment plan due date for the semester.
    • 0% of the trip billed will be refunded if dropped after the 3rd Hiram College payment due date for the semester
    • If a student fails to withdraw from a study abroad trip, there will be 0% refunded
    • Once a study abroad trip departs, there will be 0% refunded for cancelled participation

Approved and effective as of June 1, 2005 and revised March 1, 2011.

12-week Study Away Policies

Housing

  1. Students may elect to NOT sign up for housing on campus.
  2. If a student signs up for housing, no housing credit will be issued.
  3. A student on a 12-week program may opt to sign up for available housing on their return at the 3-week term rate.  (This will be assured by the payment of a housing deposit.)

Meals

  1. Students who pay for a meal plan at the start of the term will be credited for 75% of meal charges per day during the days of their trip when campus food service is open.
  2. Students returning to campus housing (except Townhouses) will be charged for meals for the remainder of the term.
3-week Study Away Policies

Housing

  1. Student who pay for campus housing will receive a $150 credit toward housing charges when housing is open for occupancy.  This applies for trips lasting more than 10 days during the three week session.  It does not for apply for trips during periods when the college is on break or housing is closed.

Meals

  1. Students will be credited $15 per day toward meal charges during the time of their trip when campus food service is open for trips.

General Note:  NO CHECKS FOR CREDIT will be issued to students.  All monies will be issued as credit against trip related charges only.

It is important to understand that the College reserves the right to consider students’ eligibility to participate in the program on a case-by-case basis. Further, should a student’s standing at the College change at any time, the College reserves the right to reconsider the student’s participation in the trip. The College may suspend or terminate a student’s participation in the study away program in the event that the student fails to comply with any portion of the Study Away Program Waiver and Release Agreement and the policies set forth in the Student Handbook.

To apply for a faculty-led Study Abroad trip, complete the following:

  1. Study Abroad application
  2. Health information form
  3. Recommendation form (To be filled out by a faculty or staff member.  You need three faculty or staff recommendations and one should be your faculty advisor.)
  4. Parent waiver (Even if you are an adult, unless you are emancipated or independent, you need your parents to complete this form.  This form should be completed, signed, and returned to Matthew Notarian in Pendleton House or by email at notarianmf@hiram.edu.)
  5. Student waiver (This form should be completed, signed, and returned to Matthew Notarian in Pendleton House or by email at notarianmf@hiram.edu.)
  6. $75 Non-refundable fee (cash or check payable to “Hiram College”) paid at the Cashier window in Teachout-Price.
  7. Hiram College Study Abroad Scholarship Application (Optional.  For fall trips, all completed applications should be submitted no later than March 8th (the same day that your Study Abroad application is due).  For spring trips, all completed applications should be submitted no later than October 8th (the same day your Study Abroad application is due).
