Weekend College Student Policies
The following is a sample of Weekend College Student Policies. For a complete list of policies and procedures please refer to the Weekend College Bulletin which is distributed to each Weekend College student during his/her first semester at Hiram College or the link on this site. While every effort was made to provide accurate and up-to-date information in this section, the Weekend College reserves the right to change, without notice, statements concerning rules, policies, fees, etc.Tuition Deferment Plan
Many companies offer some type of tuition assistance to employees who continue their education. Some employers pay the college directly, others prefer to have the students pay their tuition and then reimburse them when they receive their grades. Students should check with their employers regarding the tuition assistance program and the proper procedures for participation.Students who participate in company reimbursement plans may be eligible for tuition deferment. Hiram College will permit students who receive reimbursement for educational expenses from their employers to defer payment of their tuition until two weeks after the posting of semester grade reports. After this two week grace period finance charges will begin to accrue. It will be the responsibility of the student to notify Hiram College of any delay due to the employer’s procedures for processing payments. To enroll in this plan students must submit a letter to Hiram College from their employer verifying their eligibility in the plan. In addition, students must fill out a deferment form, complete with their employer's signature, and submit it to the Weekend College office with the required fee.
Formal Auditing of Courses
Hiram College courses may be audited with the permission of the instructor and subject to class size or space restrictions. Students must formally register for the course, fulfill regular attendance expectations, and perform any additional tasks stipulated by the professor. If these conditions are satisfactorily met, the audited course will be recorded on the student’s official transcript with the mark of AU. However, it is important to note that audited courses do not provide credits toward graduation and that a course cannot be changed from audit to credit status after the first two weekends of the 12-week session or first weekend of the 3-week session.Students auditing a course must pay the per credit hour audit fee and are subject to all the general college policies on withdrawal and refunds.
Pass/No Credit Regulations
Students are not permitted to take courses in their major or minor or courses to fulfill the general graduation requirements under the pass/no credit option.Students may elect, at the time of registration, to take a regularly graded course on a pass/no credit basis.
Traditional letter grades are submitted to the Registrar by faculty members for all students in the course. If the course is taken pass/no credit, the Registrar records a P or NC on the student’s transcript and stores the letter grade. The grade of P is recorded if the student receives a C- or better in the course. The grade of “NC” is recorded if the student receives a “D+” or lower in the course. In the case of a “NC”, the student receives no hours toward graduation and there will be no effect on the grade-point average. Letter grades are revealed only to other colleges and universities in the event they should require them for the transfer of credit or admission, or to employers, and then only at the request of the student. Students are permitted to know the letter grade for courses taken pass/no credit.
Students preparing to attend professional or graduate schools are reminded that excessive use of the pass/no credit option may endanger admission or the granting of graduate fellowships.
Changes from pass/no credit to letter grades or vice-versa are only permitted during the first two weekends of classes during the twelve-week session. During the three-week session, changes must be made by the end of the first weekend. Absolutely no changes from pass/no credit to letter grades or vice-versa will be permitted after these deadlines. Students must complete pass/no credit forms before any changes will be made. Forms necessary for this procedure are available in the Weekend College Office.
Students may take a maximum of one course under the pass/no credit option during any academic semester. Students may take a maximum of one-sixth of their Hiram credit hours under the pass/no credit option in addition to any course or workshop offered only on a pass/no credit basis.
Weekend College Partial Withdrawal/Refund Policy
Ceasing to attend a class, never attending, or notifying an instructor does not constitute official withdrawal. Notification of withdrawal must be made to the Weekend College Office for the student to receive a refund or have an adjustment made in a transcript. Withdrawal forms are available in the Weekend College Office. Any and all tuition refunds are based upon the date that a student “officially” withdraws. A refund schedule, by date, which addresses both full withdrawals from the college and dropped courses, is available in the Weekend College office.A student required to leave the College for disciplinary or academic reasons is not entitled to any refund. Refunds of financial aid from the federal and state programs are governed by the respective regulations. Copies of federal and state controlling documents are available in the Office of Student Financial Services.
Registration/Advising
Fifth Weekend of Each 12-Week Session
Course schedules for the next semester are available in the Weekend College Office during the fifth weekend of each semester.You should schedule an appointment with your faculty advisor to register. Appointment sheets are posted on the wall outside of the Weekend College Office for all advisors. If there are no appropriate times open with your advisor, please feel free to schedule an appointment with an advisor who has a time open that is convenient for your schedule.
Sixth Weekend of Each 12-Week Session-Registration
You should meet with the advisor with whom you scheduled an appointment and register for the next semester. You will register for both the forthcoming 12-week and 3-week sessions.It is very important to register on the sixth weekend. After the sixth weekend students who are not currently enrolled will have an opportunity to register for courses and courses do fill quickly. All students registering after the sixth weekend take the chance of being closed out of classes.
It makes no difference whether you register on Friday evening or Sunday afternoon of the sixth weekend. Course spaces are filled according to class rank: seniors, juniors, sophomores, and freshmen. No distinction is made according to the time that a student registers during the sixth weekend. With the exception of graduating seniors, preference will be given to students who register through an advisor if a course (12-week or 3-week) is over-subscribed.
Any schedule changes or late registrations must be done in the Weekend College Office. Faculty advisors register students only during the sixth weekend of this semester. However, they are available throughout the semester by telephone or appointment to discuss any academic matters with you.
Students who have been out of the program for a semester or more must wait until after the sixth weekend to register. Currently enrolled students are always given first opportunity to register for classes. Students re-entering the program must register with the Weekend College Office, not with their faculty advisor.
